Summary
The Primary Purpose of the Position is to serve in the capacity of a Management Assistant, the duties of which are to provide for the administrative and managerial functions for the Community Based Outpatient Clinics (CBOCs). Central Texas Veterans Health Care System that provides medical, Social work, Telehealth, and mental health and primary care services located at the Killeen and Copperas Cove (CBOCs).
Duties
The incumbent will perform a variety of duties, including but not limited to the following: Assists managers and staff in projecting staffing needs; Keeps a list of incoming and outgoing staff, ensuring that the information is current; Provides advice and assistance to the CBOC Leadership concerning Federal and agency personnel processes and procedures; Reviews, analyzes, and interprets incoming requests, recommends appropriate action or suggests appropriate alternatives based on knowledge of internal operations, agency personnel policies, budgetary constraints and work priorities; Assists patient advocates office with patient complaints and compliments; Prepares and reviews purchase orders for supplies and non-expendable property such as equipment, to include personal computer hardware and software and other specialized equipment necessary to the effective functioning of the CBOC; Provides for the overall administrative management of the CBOC. This may include interpreting administrative policies. defining administrative requirements, and/or providing advice to the CBOC Leadership on related issues of the policies. Applies new policies, provides advice on requirements, maintains administrative systems, and prepares administrative paperwork. Coordinates the administrative aspects of office moves, office construction, and other facility improvements including furniture, equipment, telephone, etc. Reviews monthly VHA Support Service center (VSSC) data for clinic metrics in Patient Centered Management Mode (PCMM). Monitors performance and changing processes when necessary to ensure that goals are met. Analyzes various data, providing oversight and assisting with management improvements for the Community Based Outpatient Clinic.
